Refund Policy

Overview

This policy explains when refunds, cancellations, and rescheduling are available for consultations booked with System Heatherway Co., Ltd.

Cancellation by Client

More than 72 hours before appointment: Full refund of any deposit paid, or free rescheduling to a new date within six months.

Within 72 hours of appointment: No refund of deposit. One free reschedule is permitted if requested at least 24 hours before the appointment.

Less than 24 hours before appointment or no-show: No refund. The full session fee is charged.

Cancellation by System Heatherway

If we cancel your appointment due to consultant illness or unforeseen circumstances, you receive a full refund or priority rescheduling at no additional cost.

Refund Eligibility After Service

Home Vault Audit: If you are unsatisfied with the documentation delivered, notify us within seven days of the session. We will conduct a complimentary follow-up visit to address specific deficiencies noted in your written complaint. Monetary refunds are not available after the binder has been delivered and sealed.

Cold Storage Inventory: Refunds are available if the session could not be completed due to our error. Partial refunds are not offered for sessions completed in full.

Seed Phrase Verification: If we are unable to issue a verification certificate because the session was interrupted by circumstances on our side, a full refund is provided.

Non-Refundable Items

• Documentation materials (binders, index cards, tamper seals) once prepared for your session
• Travel supplements for completed visits
• Package sessions unused after the twelve-month validity period

Refund Process

Approved refunds are processed via bank transfer to the account used for payment within fourteen business days. You will receive email confirmation when the refund is initiated.

Rescheduling

Rescheduled appointments must occur within six months of the original date. Package sessions retain their prepaid status when rescheduled according to the cancellation terms above.

Deposits

A 30% deposit may be required when booking Home Vault Audits. The deposit is applied to the final session fee. Deposit refund terms follow the cancellation schedule above.

Work Already Started

If you cancel after a consultant has begun travel to your location, the travel supplement and a one-hour cancellation fee apply regardless of the cancellation window.

Disputes

Contact hello@system-heatherway.click with your appointment date, service type, and reason for the refund request. We respond within three business days.
